A practical approach
Make it part of the way your club works
Build the academy's class programme
Name the sessions so students can distinguish fundamentals, gi, no-gi and open mat. Set the location, instructor, capacity and regular schedule, then add one-off seminars without changing the whole timetable.
Make membership administration clear
Define what each membership covers and check that staff understand how class access and payment administration are handled. Keep the student's details and memberships connected so a plan change does not become an unrelated spreadsheet update.
Keep progression instructor-led
Record the academy's grades and coaching observations using its own requirements. Attendance can inform a review, but the coach decides when a student's performance merits progression.
